We are seeking a detail-oriented and organized individual to join our team as a Procurement and Logistics Coordinator. This role involves managing consumables and materials inventory, overseeing the end-to-end process for consumables and material management, and ensuring efficient sample management. The ideal candidate will possess strong organizational skills, the ability to handle multiple tasks simultaneously, and a comprehensive understanding of procurement, logistics, and inventory management processes.

Your responsibilities will include:

• Procurement of Materials and services for pharmaceutical operations 
• Supplier management incl qualification and maintenance  
• Consumables and Materials Inventory Management
  • Maintain accurate and up-to-date inventories of consumables and materials required for laboratory operations.
  • Oversee the entire lifecycle of consumables and materials, from request through purchasing to delivery and invoicing.
  • Ensure that stocks of consumables and materials are maintained at optimal levels in both labs and storage areas.
  • Order KanBan consumables and materials, ensuring timely and accurate supply to meet operational demands.
• Sample Management
  • Take ownership of the entire sample management process, including receipt, labeling, storage, and shipment.
  • Coordinate the receipt, storage, and dispatch of samples while ensuring that all steps comply with internal and external standards.
  • Ensure all team members involved in sample management are properly trained on processes and protocols.
  • Provide proper acknowledgment of receipt to the shipper after receiving samples.
• Instrument Maintenance and Re-qualification Support
  • Assist with the re-qualification, periodic maintenance, and repair services for laboratory instruments as needed.
  • Work closely with the relevant departments to ensure all required instruments are in good working condition and meet operational standards.
• Logistics and Shipment Coordination
  • Coordinate all in-/outbound shipments, including placing shipment requests to logistics vendors and acting as the primary point of contact during dispatch.
  • Work with internal stakeholders to ensure proper documentation (e.g., MSDS, shipping conditions, shipment size for customs, etc.) is in place for shipments.
  • Ensure compliance with shipping regulations and standards for all shipments.
  • Track and report the status of all shipments, ensuring timely delivery and receipt.

We are looking for someone with:

• Qualification in Logistics, Supply Chain Management, Business Administration, or related field (e.g., Kaufmann/Kauffrau EFZ).
• Proven experience in these areas is essential.
• Experience with logistics vendors and shipment coordination is highly desirable.
• Proficient in MS Office Suite and relevant software.
• Excellent written and verbal communication in German (mandatory) and English & French (desirable).
• Strong multitasking, organizational skills, and focus on accuracy.
• Knowledge of shipping regulations, documentation, and ability to handle hazardous materials/procedures.
